LAST UPDATED 12 OCTOBER 2026
1. General provisions
This Privacy and Data Processing Policy (“Policy”) is prepared in accordance with international data protection laws, including the GDPR (EU), CCPA (US), LGPD (Brazil) and other applicable privacy regulations.
It defines how U-in.Marketing (NIP 1133093024), Żelazna 41, Warsaw, Poland — trading as U [in] AI (“Operator”, “we”, “our”, “us”) processes, stores and protects personal data collected via the website https://u-in.ai and related services.
We are committed to safeguarding the privacy rights of all individuals whose data we process, ensuring lawful, fair and transparent data handling.
2. Definitions
- Personal data — any information relating to an identified or identifiable natural person (“data subject”).
- Processing — any operation performed on personal data (collection, storage, use, transfer, erasure, etc.).
- Controller (Operator) — the entity determining the purposes and means of processing personal data.
- Processor — a third party processing data on behalf of the Controller.
- Consent — any freely given, specific, informed and unambiguous indication of the data subject’s agreement to data processing.
- International data transfer — transmission of data outside the EU/EEA, US or other jurisdictions where data protection laws may vary.
3. Rights of data subjects
Data subjects have the following rights under applicable laws:
- Right to information about data processing.
- Right of access to their data.
- Right to correction of inaccurate data.
- Right to deletion (“right to be forgotten”).
- Right to restrict or object to processing, including direct marketing.
- Right to data portability.
- Right to withdraw consent at any time.
- Right to opt out of the sale or sharing of personal data (US residents).
- Right to lodge a complaint with a supervisory authority — in Poland, the President of the Personal Data Protection Office (UODO).
You may exercise these rights at any time by emailing hello@u-in.ai.
4. Principles of data processing
- Lawfulness, fairness and transparency in all operations.
- Purpose limitation — data is collected for specified purposes only.

- Accuracy and updates — data is kept current.
- Storage limitation — data is retained only as long as necessary or as required by law.

5. Purposes and types of data processed
| Purpose | Data types | Retention period |
|---|---|---|
| Communication with users (enquiry form, email, calls booked through Calendly) | Name, company, work email, phone number, the task you describe, IP address of a form submission | Up to 3 years after last contact |
| Contract conclusion and service delivery | Name, email, phone, company info, contract data | 5 years after contract termination (legal requirement) |
| Marketing communications (newsletter, offers) | Name, email (with explicit consent) | Until consent is withdrawn, or max 3 years of inactivity |
| Analytics and website improvements | Technical data, cookies, usage data | Up to 2 years |
| Server operation and abuse investigation | IP address, user agent, requested URL, timestamp (server logs) | Up to 12 months |
You may opt out of marketing communications at any time by:
- clicking the “Unsubscribe” link in our emails, or
- sending a request to hello@u-in.ai with the subject “Unsubscribe”.
6. Legal basis for processing
We process data only when:
- you have given explicit consent (e.g. for analytics cookies or marketing emails);
- it is necessary to perform a contract or take pre-contractual measures;
- we are legally required to process the data;
- processing is based on our legitimate interest (e.g. improving services, keeping the site secure), without overriding your rights.
7. Data collection, storage and security
- The only form on this website is the short enquiry form under journal articles. It collects your name, company, work email, the hours your team spends on a task and which task it is. The answers are sent by email to hello@u-in.ai and read by a person; they are not stored in a database on this site and are not used to train models. Otherwise data reaches us when you write to us, call us, or book a meeting through the scheduling link.
- The form is protected against automated abuse by a hidden field, a timing check and a per-address rate limit. Your IP address is included in the email we receive, for that purpose only.
- Data is processed using encryption in transit, access control and secure storage to prevent unauthorised access or breaches.
- Data is not shared with third parties unless legally required or explicitly consented to by you.
- Third-party processors (hosting, analytics, scheduling) comply with the GDPR and international standards.
- Data is deleted or anonymised after the retention period expires.
8. International data transfers
If data is transferred outside the European Economic Area or jurisdictions with equivalent protection, we rely on:
- adequacy decisions of the European Commission, or
- Standard Contractual Clauses (SCCs) and contractual safeguards with the third party.
9. Third-party services
The following services are involved when you use this website:
- Google Analytics 4 (measurement ID G-51JNX9F8V7) — usage measurement. It runs under Google consent mode v2 and stores nothing until you agree; see the Cookie policy.
- Calendly — the “Book a call” buttons open calendly.com. Anything you enter there is processed by Calendly under its own privacy policy.
- The client panel at panel.u-in.ai is a separate application with its own login and its own terms; this Policy does not cover it.
We do not run advertising pixels, remarketing tags or social trackers on this website. Tools used inside client projects (CRM, email delivery, outreach platforms) are agreed in the contract with each client and named on request.
10. Confidentiality
All persons with access to personal data are bound by confidentiality obligations and must not disclose data to third parties unless legally required or authorised by the data subject.
11. If we contacted you
If you received a message from us as part of an outreach campaign and want to know what data we hold about you, or want it deleted, write to hello@u-in.ai and we will handle the request.
12. Policy updates
We may update this Policy to reflect changes in legislation, technologies or our data practices. The revised version is always posted on this page with the updated date.
